Estimate template: separate materials from labor

Begin with the work you can see and the conditions you still need to check. An estimate should explain the expected cost of a defined job with enough detail for the customer to understand what could change. The form gives materials and labor their own section labels. Add several rows if the job has distinct tasks, or remove a row that does not apply. The total always comes from the quantities and unit prices visible in the editor.

For materials, describe the item or allowance and its unit. A quantity of two might mean two replacement valves, while a quantity of twelve could mean feet of pipe. Put the unit in the description so the customer does not have to guess. For labor, name the activity and the expected hours. The labor cost calculator can help build the rate, and the handyman price list offers editable task scenarios for small repairs.

Keep optional work separate from the base job. Removing old parts, accessing a concealed fitting, or returning after another trade finishes may change the estimate. Include those conditions in the assumptions field. A preset gives you a starting description for your trade, but it does not inspect the property, confirm a part specification, or replace a conversation about what the customer actually wants.

Free estimate template: fixed amount or range

Choose a fixed estimate when you want to show one calculated amount, or select a range when uncertainty needs to be visible. The range starts at the total of the entered materials, labor and tax. The upper end adds the allowance percentage you select. That percentage is an explicit planning assumption, not a prediction of how every job will finish. Explain the reason for it in the notes rather than presenting an unexplained pair of numbers.

For a filled example, enter three labor hours at $80 and one materials allowance at $60. The subtotal is $300. With zero tax entered, the total remains $300; a 20% upper allowance gives a range of $300 to $360. An illustrative $50 deposit leaves $250 against the lower estimate. The final balance depends on the work and price ultimately agreed. These numbers demonstrate the arithmetic and are not a recommendation for local trade rates.

Check the markup and margin calculator if materials include a markup, and use the quote template when you are ready to propose a defined price. Date the estimate and set its validity so changing material costs do not leave an old worksheet looking current. If the job changes substantially, issue an updated version instead of relying on a marginal note the customer might miss.

Contractor estimate template: assumptions and next steps

An estimate describes an expected cost based on the information currently available. A quote presents the price you are offering for a stated scope. The title alone does not settle the legal effect of a document; the wording, agreement and applicable rules matter. Keep this distinction practical: use the estimate to expose unknowns, then confirm the scope and price with the customer before starting. This page is a worksheet, not advice about the enforceability of an agreement.

Use the assumptions box to identify access, existing conditions, customer-supplied items and work by other trades. “Existing shutoff valve works” is more useful than a generic statement that conditions may vary. Explain how you will handle a discovery that changes the job. A short note can say that additional work needs customer approval before it proceeds. Make the approval step part of your actual workflow, not just text at the bottom of a file.

Download the PDF before closing this tab, then review it with the customer. The work order template can carry the agreed tasks into the visit once the work is authorized. For ongoing scheduling and document management, the Housecall Pro pricing page outlines what different subscriptions include. Preserve the estimate and any later revisions together so the final invoice can be understood against the original assumptions.

Estimate template questions

How does the estimate range work?

The lower amount is the calculated line-item total including the tax you entered. The upper amount adds your allowance percentage to that total. Explain the uncertainty in the assumptions field, because the percentage itself does not tell the customer whether the unknown is labor, materials, access or something else.

Can an estimate contain both labor and materials?

Yes. Each row has a section selector for labor, materials or service. Add rows for the distinct parts of the job and describe the unit in the text. The PDF preserves those section labels so the customer can follow the amount even when several different tasks are involved.

Is a fixed estimate the same as an approved quote?

Choosing fixed changes the displayed format, not the approval status of the job. You still need to explain the scope and obtain agreement through your normal process. The legal effect of the document depends on its wording and circumstances, so do not rely on the selector as a legal classification.

What should go in the estimate assumptions?

Name the conditions that affect the numbers: accessible fittings, known quantities, customer-supplied parts, or a required inspection. Explain how an unexpected condition will be handled. Specific notes help the customer understand a revision later and give the technician something concrete to check before proceeding with additional work.

Can I download an estimate without sending customer data?

The PDF is rendered in the browser from the visible fields. The download action does not upload the customer name, address, notes or document contents. Save the file locally and review it before using your own email or other delivery method to share it with the customer.
