Quote template: build a clear customer offer

Start the quote with the business that will do the work and the customer who will approve it. A contact name alone may not identify the property, so record the job address separately. Give the document a reference you can use in later messages, then choose the date and an expiry. These fields help distinguish the current offer from an earlier version after a customer changes the scope. Keep a copy of the exact version you send.

Use the description column to explain the result the customer is buying. “Standard cleaning of kitchen and two bathrooms” says more than “cleaning.” A plumbing visit might separate diagnosis, the selected replacement part, and installation. The trade preset supplies editable wording; it does not tell you what to charge. Replace every placeholder and inspect the job before setting an amount. The house cleaning price calculator can help work through cleaning time, while the labor cost calculator checks your labor assumptions.

Specify exclusions where they affect the decision: inaccessible areas, disposal, replacement materials, or work discovered after opening a wall. Avoid putting an important limit only in a conversation that another decision maker will never see. Read the finished preview as though you were the customer, checking that each line describes work you can actually deliver.

Contractor quote template: quantities, tax and deposit

The browser multiplies each quantity by its unit price, rounds that line to cents, and adds the lines into a subtotal. Tax is applied to that subtotal using the percentage you enter. A deposit reduces the displayed remaining balance; it does not reduce the price of the work. This worksheet uses one tax rate across the whole document. Confirm the correct treatment for your job if materials and labor are treated differently where you operate.

Here is a filled example using invented inputs, not a suggested market rate. Three cleaning hours at $45 produce $135. One oven add-on at $30 brings the subtotal to $165. At an illustrative 8% tax rate, tax is $13.20 and the total is $178.20. A $50 deposit leaves $128.20 to pay. Enter those two rows to reproduce the example, then replace them with your own quantities and prices before sharing the document.

The markup and margin calculator helps check whether a materials allowance includes the intended markup. If a price is still uncertain, use the estimate template to explain a range and its assumptions instead. Quantity should mean something concrete: hours, visits, fixtures, or another unit named in the description. Review the deposit against the total so you do not accidentally request more than the quoted amount.

Price quote template: PDF, print and approval

Choose Download PDF when the preview contains the version you want to send. The document is generated on this device and includes the business and customer blocks, line items, totals, expiry, and terms. Print opens your browser’s print dialog with the document preview. Neither action emails the customer or creates a saved customer record. Keep the downloaded file in your own job folder and use your usual delivery method to share it.

This page does not retain the fields after you leave or reload. Download first, especially on a shared phone or tablet. Check the PDF before sending: a correct calculation cannot catch a mistyped address or a missing task. If you revise an offer, change its reference or date so the customer can distinguish it from the earlier copy. Confirm approval and record any agreed changes using your normal business process.

A reusable file is useful for an occasional job. Repeatedly copying contacts and prices becomes more work as your schedule fills. The Jobber pricing comparison explains software tiers when you are deciding how to manage that work. You can also browse all free tools for the pricing step before filling another quote. This template stays available without registration, and its credit line links back to the canonical page so a colleague can start a fresh document.

Quote template questions

Where can I find free quotation templates?

Use the editor above without creating an account. Replace the sample descriptions and unit prices, check the customer block, and download the PDF before leaving the page. The file includes a credit link to this template so someone receiving it can find a fresh copy for their own work.

Can I create this quote in Excel instead?

Yes. The manual calculation is quantity times unit price for each line, followed by a subtotal, tax and deposit. A spreadsheet can use the same structure. This page produces a PDF rather than an Excel workbook, so keep your own spreadsheet if you need formulas in an editable file.

Does the quote PDF include the deposit?

The PDF shows the deposit you entered and subtracts it from the total to show the remaining balance. It does not collect that deposit or confirm receipt. Specify when the deposit is due in the terms and update your own records when the customer actually pays.

Are quote preset prices suggested rates?

No. Presets change the task descriptions, and the initial amount is only a demonstration value. Inspect the scope, enter your own quantity and rate, and check the total. A cleaning visit, repair or installation can have different costs even when the short task description looks similar.

Will my quotation be saved when I close the tab?

No customer record is saved by this template. Download the finished PDF or print it before closing or refreshing the page. If you need to revise it later, retain your own source notes and use a new reference or date so the customer knows which version to review.
